School Board Member Mike Harris resigns after 18+ years

SCHOOL BOARD REPORT - Thursday, March 15, 2018
  • Dr. Stephens reads letter from longest continuously serving school board member
  • Dr. Stephens gives numbers for participation, plans from Community-wide School Safety Forum and praises community and staff for listening to students on successful school walkout.
  • Revised school calendar approved
  • Board approves Mather & Co audit proposal for 2017-18 fiscal year, at slightly increased fee
  • David Jones gives Building and Grounds report,
  • School finances continue strong with over $5,000,000 cash balance end of February 2018

After serving on the Adair County School Board for over 18 years, Board Member Mike Harris (Div 5) submitted a letter of resignation prior to the Thursday, March 15, 2018 meeting. The letter was read to all present at the meeting by Superintendent Pamela Stevens.

Dr. Stephens said his resignation will be accepted, with regret, as the Board loses the service of the 18+ year veteran. She said she had encouraged him to take his full six months allowed while he relocates, but he said he felt he just needed to resign. She said the Board will follow the Statutes now for a replacement.

Harris' letter to the Superintendent read, in part:

"As I have recently advised, my wife and I have now sold our house at 693 Keen Wilson Road. We no longer own a house in my school district, and the location to which we are moving is not in my school district, as well.



"I have enjoyed the 18+ years of working on the board, and I am happy with many of the transformations that have taken place. However, since I no longer will be living in my present school district, I feel it is necessary that I step down.

"Thank you for all you are doing for the district, and I pray for continued success in all aspects of our school district for the benefit of our children. May God continue to bless our school district, our children and our country."


Dr. Stephens gives numbers for Community-Wide Safety Program

Continuing her Superintendent's report, Dr. Stephens said that the Community-wide School Safety Forum went well. She said the official count was 149, (from the sign in sheets) including 72 community members, 29 parents, 14 from ACHS, 5 from ACMS, 12 from ACES, 24 from ACPC, 5 from maintenance, 2 bus drivers and 4 of the 5 board members.
Dean of Students Robbie Harmon will meet with the team and there will be safety training and further meetings for continuing improvement.

Superintendent commends ACHS Principal Travis Gay, #No More Empty Seats project

She commended ACHS Assistant Principal Travis Gay for his work with both students and staff for the successful student walkout which was organized by the students and held on Tuesday, March 13. She praised faculty and staff for their willingness to listen to students, hear their fears and doubts. She said the photography project called #No More Empty Seats is continuing through spring and the administration is very supportive of it. It will be displayed for people to see once completed.


Board Action Items
The board reviewed and approved the revised 2017-2018 Adair County School Calendar prepared by Dean of Students Robbie Harmon, which reflects the most recent Snow Day, March 12, 2017. The calendar requests a reduction of instructional Days for students from 172 to 170, making the last day of school for students May 23, 2018, and the closing day for staff Saturday May 26, 2018, or Tuesday May 29, since Monday May 28 is a holiday. The calendar was approved unanimously on motion by Vice Chairman Terry Harvey (Div 1) with a second by Jonathan Gaskins (4).

2017-2018 Audit contract approved with approximately 2% increase.

The Board approved a proposal from Mather & Company for the 2017-2018 audit, at a fee of $19,800, reflecting an approximately 2% increase over the previous year.

Finance Officer Renae Smith reports improved cash balance

Adair County School District Finance Officer Renae Smith reported a continuing strong cash balance of $5,282,359.45 in district wide funds at the end of February 2018. Her report was unanimously approved.

David Jones reports on Buildings & Grounds

David Jones, Maintenance Supervisor, gave the buildings and grounds report , mostly centered on roof matters.

He commended Melson Roofing Company, an Adair County firm, for the replacement roof installed on the Central Office, "our Pizza Hut" building, which the firm replaced. They did a good job, he said, and gave a 10-year warranty on the work.

He said the recent work on the Adair County High School roof needs additional work, additional flashing. The work is still under warranty, and the company which installed the roof will be called back to remedy the situation.

Lightning during the past month damaged ACES and ACMS. He said the insurance carrier's CEO Dan Antle has told him there should be no problem with the insurance coverage.

He also noted that gas bills January 2018 were up, then unexpectedly down for February at Adair County High School, and his department is looking into to the installation of the new boiler's. He said he just wanted to make sure the board is aware that bills are fluctuating.

Consent Agenda Approved: Includes approvals for waivers of fees for two expos

The Board Unanimously approved the Consent agenda, which included provisions for waivers of fees for two big community expos, 1) Use of Adair County High School and Adair County Elementary School for the Adair County Extension Service Farm, Home, and Garden Expo on Saturday, March 17, 2018, and 2) The Jones Chapel United Methodist Church's use of the Adair County Outdoor Expo on Saturday, August 4, 2018.

In addition, routine approvals, the treasurer's report, minutes of February 13, 2018, were approved in the consent agenda.
